Setting up your SMTP Server Connection

In order for DS Studio to email your reports and mail merges you need to setup a connection to your SMTP (Simple Mail Transfer Protocol) Server.

SMTP by default uses TCP port 25. The protocol for secure mail submission is the same, but uses port 587 or 465.  SMTP connections secured by SSL, known as SMTPS.

Although electronic mail servers and other mail transfer agents use SMTP to send and receive mail messages, DSStudio mail only uses SMTP for sending messages to a mail server for relaying.   DSStudio only sends emails, it does not receive them.

Email Server Mode - Either Outlook Client or SMTP Server.  If you are planning on sending your emails using your installed Outlook Program on your computer select this option.  Use SMTP Server if you use some other Email Server like GMail, Godaddy, Outlook.com, etc.

If you are using the Email Server Mode Outlook Client you do not need to complete any other SMTP information on the EMail SMTP Server Setup Screen.  All the Server configuration information is taken care by the Outlook Application.

If you don't know your SMTP Setup information you should contact your Email Provider for the information.  We will list some common SMTP servers configurations at the end of the document.

SMTP Server Address - this is either an URL pointing to an Internet Domain or an IP address.  In our above example we are using Outlook.com (office 365) as our SMTP Server.

Authorization Mode - Most SMTP server use some type of Authorization.  Secure TLS, StartTLS or SSL.  If your company is hosting their own SMTP server internally you may not need to use authentication because it knows where the email is coming from.

Port - Different SMTP Servers use different ports either 25, 587 or 465 are the common ones.  Normally you use 587 or 465 for TLS and SSL. 

SMTP User Name and SMTP Password - These fields needed for authentication.

From Email - Some SMTP Servers will allow you to send email using a different email address instead of the SMTP User Name.  This way you can actually use your credentials but make the email from say sales@yourcompany.com. 

Once you have completed the SMTP Server Information Screen, click the Test Email Button.  This will send a test email to the SMTP User Name.
